BACKGROUND: The International Rescue Committee (IRC) helps people whose lives and livelihoods are shattered by conflict and disaster to survive, recover and gain control of their future. IRC teams provide health, infrastructure, learning and economic support to people in 40 countries worldwide. The IRC also provides support to thousands of refugees resettling in 29 U.S. cities each year throughinitial housing assistance; case management and referral services; job readiness and placement; community and cultural orientation; health and wellness programs; immigration services; and youth programs.

SCOPE OF VOLUNTEER WORK: Under the guidance of the Operations Coordinator, the Front Desk Volunteer is responsible for maintaining a welcoming and professional customer service-focused environment, ensuring clients and visitors are directed efficiently to the appropriate programs and staff members, and responding to inquiries about IRC’s services. The position is also responsible for completing general administrative and client coordination tasks for the operations teams and direct service delivery teams. The position reports to the operations Coordinator and is part of the Operations Team.

Time Commitment: 4hrs/week. Regular schedule required. Minimum three month commitment. Currently recruiting M-F, 9am-1pm or 1pm-5pm shifts.

Essential Position Functions

  • Maintain and manage front door entry system and lobby in a professional way.  Help maintain workplace security by ensuring visitors check-in and check-out, via a visitor management system, and follow COVID-19 and other IRC Safety and Security protocols.
  • Greet and process visitors with appointments and with support from appropriate staff manage visitors without appointments.
  • In conjunction with the Operations Manager, ensure new staff and interns have access to ID cards, and office key codes.
  • Maintain a check-in and appointment scheduling system using Proxy Click for visitor appointments across departments.
  • Answer and direct incoming telephone calls.  Take messages and answer basic questions.
  • Oversee operations in both reception offices and copy rooms, including receiving and distributing mail and deliveries, restocking office supplies.

Requirements:

  • Willing to adhere to IRC volunteer and workplace policies.
  • Attention to detail & ability to resolve errors.
  • Competence with Microsoft Products
  • Must be flexible, patient, and willing to perform other reasonable duties as needed.
  • Enthusiasm and reliability are essential qualities for prospective candidates.
