                                                    JOB DESCRIPTION

Position:     Operation(Supply chain)

Reports to:  Head of Finance & Supporting Functions, IRC Korea

Location:    Seoul, Republic of Korea

Hours:   Full time, 40h per week

 

PURPOSE OF THE ROLE

This position is expected to contribute to setting the strategic direction and operational problem-solving through the areas of professional expertise. This position reports directly to the Head of Finance & Support Functions.

 

KEY ACCOUNTABILITIES

1.     Supply Chain

·       Serve as the primary point of contact for the Supply Chain, including procurement, asset management, warehousing and storage, fleet management, and transportation. 

·       Lead the bidding process, including request for quotation process, request for proposal process, tender evaluation, and facilitating procurement committee functioning.

·       Manage relationships with suppliers and vendors. Maintain up-to-date supplier and vendor records.

·       Manage asset register and inventory lists of purchased and donated items. Establish and manage inventory control for office supplies, stationery, and other consumables. In collaboration with the Finance Manager, ensure inventories reconcile with financial reports.

·       Support the teams in meeting their match goals.

·       Maintain office equipment/ supply inventory and In-Kind Data base for the office using relevant software such as Integra. In collaboration with the finance, ensure inventory reconciles with financial reports.

·       Create, monitor, and maintain data for external partners and vendors. Ensure compliance with Anti-Terrorism Convention (ATC) check policies.

·       Establish and manage inventory control for office supplies, stationery and other admin consumables and distribute items upon request, following a formal requisition; assess and continuously monitor the consumption of office supplies as their being requested by staff.

·       Coordinates with the Regional supply chain unit all procedures and steps regarding procurement. 

·       Order supplies, equipment etc., in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs as needed. 

·       Manage and maintain digital and physical files.

·       Ensure all administrative aspects are followed, introducing them into the system (Integra) while respecting IRC procedures regarding procurement.

 

2.     Safety and Security (S&S)

·       Serve as the office’s primary focal point for day-to-day S&S matters.

·       Coordinate immediate incident management, including filing police reports. 

·       Reporting of S&S incidents involving covered persons in accordance with established IRC protocols.

·       Coordinates all the office safety and security related work procedures and files compliance reports to the central S&S QH function advises HQ External Relations on security regarding security incidents. 

·       Develop office-specific S&S onboarding materials, ensuring the provision of S&S briefings to new staff and covered persons.

·       Coordinate a minimum of one emergency evacuation exercise at the office or program site level per year and other appropriate trainings, as advised by Security Risk Assessment findings.

 

3.     Information Technology (IT)

·       Serve as the office’s primary focal point for IT and communications infrastructure, hardware, and software matters.

·       Coordinates with the Regional IT unit all procedures and steps regarding IT. 

·       Supportstaff about IT support resources, including appropriate channels for incident reporting.

·       Work with regional and HQ IT teams to address any internet or telecommunications service disruptions, liaising with local internet and telecommunications service providers.

·       Support smooth functioning of communications and IT equipment and services.

·       Track and manage office IT hardware inventory and software agreements.

 

4.     Facility Management

·       Manage office and equipment leases, coordinate repairs and improvements with property managers as needed.

·       Coordinate the allocation of workspaces and support related employee lifecycle needs such as building access.

·       Coordinates with Global Real Estate & Working Solutions all facility management activities. 

·       Support the smooth functioning of office infrastructure, including communications equipment and service.

·       Assist with planning and coordinating office events and meetings.

·       Other tasks as requested in line with the scope of responsibilities. 

 

Key Working Relationships:

In coordination with: Regional Supply Chain, Regional IT, Regional Security

Internal and/or external contacts: 

Internal: 

Operations: Global Supply Chain Director (GSCD), S&S Director (SSD), Regional IT Director (RITD) and Global Real Estate & Working Solutions (GREWS).

External: 

Vendors, local police, fire representatives, facility owners/managers, etc.

 

PERSON SPECIFICATION

  • University Degree in related fields
  • Proficiency in spoken and written Korean and English, 
  • Diligent with an excellent sense of judgment.
  • Strong interpersonal and negotiation skills.
  • Ability to work simultaneously on multiple tasks.
  • Willingness and ability to work effectively with a wide variety of people.
  • Be part of a team and coordinate with project personnel.
  • Excellent digital literacy, especially working with spreadsheets (Excel).

 

QUALIFICATIONS

Educated to degree level.

 

LANGUAGE SKILLS

Korean speaker. Fluent in English

JOB DESCRIPTION

Position:     Communications Officer
Reports to:  PR & Media Manager, IRC Korea
Location:    Seoul, Republic of Korea
Hours:   Full time, 40h per week

 

PURPOSE OF THE ROLE

This position is expected to work closely with the PR & Media Manager of IRC Korea to raise the profile of IRC and ensure the strategic positioning of the organization in Korean-language media.

 

KEY ACCOUNTABILITIES

  • You will develop key messaging for Korean audiences based on global priorities and the market context and write or translate texts, press releases, reports, statements, and interview briefings.
  • You will cultivate relationships with journalists and editors, especially in consumer media, trade media, scientific media or special interest media and secure media coverage in target Korean outlets.
  • You will develop and operate new strategies on digital media and work closely with the digital management in Korea to ensure consistent messaging on digital channels.
  • You will manage internal communications in line with global internal communication strategies on the issues:

            o   Active field/program news
            o   Global internal updates
            o   Korean affairs

  • You will support the planning and organization of relevant events with a media focus, e.g. future media partnerships and events. 

 

PERSON SPECIFICATION

  • More than 3 years of experience in public relations and media work
  • Experience in press relations and a good understanding of the media landscape in Korea
  • Excellent communication in writing and speaking. 
  • Good organizational skills and teamwork skills
  • Capability to work well under high time pressure.

 

DESIRABLE

Experience / knowledge of developing and implementing Media/PR projects. 

Experience of dealing with media enquiries into crisis or sensitive issues.

 

QUALIFICATIONS

A degree or vocational training in a relevant subject (communication, journalism, media, or similar)

Fluent in Korean and English
